Job Description:  Executive Assistant/ Office Manager

Summary: The Office Manager is responsible for the general administrative support of the Chief Executive Officer and the Chief Operating Officer. The Office Manager is also responsible for ensuring that the Center Support Team office equipment and support functions are operating efficiently.

Responsibilities:
• Provides general administrative support to the COO, which may include: preparing presentations, reports & any other required confidential documents needed; typing and designing general correspondences, memos, charts, tables, graphs, business plans, etc.
• Schedule and organize complex activities such as meetings, travel, and department
activities
• Ensures that office supplies are available to all CST members
• Responsible for overseeing the switchboard operations by ensuring that the switchboard is
covered at all times and that customers are being serviced at a high level
• Responsible for overseeing the mailroom operations and mail is handled quickly and efficiently.
• Responsible for building contracts.
• Work independently and within a team on special and nonrecurring and ongoing projects;
act as a project manager for special projects.
• Responsible for ensuring the security of the CST office space
• Performs other duties as assigned

Minimum Qualifications:
Education: High school diploma or GED; one or more years of experience or training in an Office Manager role or equivalent combination of education and experience
Experience: Must be experienced in working with all levels of the organization; must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint)
